In Madrid, paperwork is split between three government bodies that don’t always communicate: the State (tax authority, social security, immigration), the Madrid region (wealth transfer tax, inheritance tax), and the city council—which runs property tax, capital gains and waste fees through Madrid’s tax authority. An accountant who knows Madrid understands this split and knows which window each document goes to. Here’s what to expect to pay, which Madrid-specific tasks justify outsourcing, and how to verify your accountant is registered.
There are no official tariffs and no reliable published data specific to Madrid. Self-employed people with few invoices and no staff pay less; companies with payroll, bookkeeping and annual accounts pay more.
One-off work typically costs extra: tax returns, new business registrations, social security sign-ups, property transaction tax settlements or inheritance administration. Before you commit, ask in writing:
Property purchase. If you buy a second-hand flat in Madrid, you pay Wealth Transfer Tax at 6% of the purchase price under Madrid’s tax authority; large families with a primary residence may qualify for 4%. The seller pays capital gains tax, except if the seller is a non-resident individual—then you’re jointly liable. This detail matters before you sign, especially in deals with non-resident sellers.
Immigration. Madrid’s Immigration Office operates four locations: Calle Silva (main office), Calle García de Paredes (registration and duplicates only), Leganés and Carabanchel. To appear in person, the government requires you to email all documents as PDFs with an appointment form; no slot without everything. An accountant familiar with this workflow cuts rejection letters. If your case has legal complexities (a denial, an appeal), consider an immigration lawyer.
Self-employed and companies. New business registration, quarterly filings, payroll and contracts are the daily work of most firms. Ask whether they work with your industry.
The Official College of Administrative Managers of Madrid (Calle Jacometrezo) covers Madrid and five other provinces. Ask for the registration number and verify it with the college before you commit to anything.
A registered accountant follows professional ethics and offers a complaints channel through the college in addition to the firm’s own complaints process.
Many Madrid accountants now work remotely with digital signatures, so physical distance matters less than before. Still, if your work requires original documents or an in-person appointment, a conveniently located office saves time. Also ask what languages the firm speaks—it’s common to find Madrid offices working in English or other languages, but confirm before hiring.
On CercaClaro we’re adding verified Madrid accountants. In the meantime, you can ask several for quotes and compare what each includes.

Looking for gestorías in Madrid?
Contact each professional directly by phone or through their website, and ask several for a written quote before you decide.
There's no official tariff and no reliable published figure specific to Madrid. What drives the fee is invoice volume, payroll presence, and whether you're self-employed or a company. Ask for a detailed quote showing which quarterly forms (model 303, 130, 111, 390, etc.) are included and what's billed separately, like tax returns or tax office requests.
Ask the firm for their registration number and verify it directly with the Official College of Administrative Managers of Madrid (Calle Jacometrezo). Do this before signing the engagement letter. A registered accountant follows professional ethics rules, and if a problem arises, the college offers a complaints procedure in addition to the firm's own complaints process.
Yes, it's a standard service. The regional government handles Wealth Transfer Tax, and the city—through Madrid's tax authority—handles capital gains. They're two separate filings with different deadlines. If the seller doesn't live in Spain, your accountant must note that you're jointly liable for the capital gains tax.
Many handle immigration and file applications electronically. If you prefer to appear in person, Madrid's Immigration Office requires you to email all documentation as PDFs along with an appointment form; they don't assign a slot if anything is missing. An accountant experienced with this process saves you rejection letters.
Request a written explanation and keep all documents. If the error is theirs, their professional liability insurance covers it—though the tax authority still pursues you. If you can't agree on compensation, file a complaint with the professional college or ask the firm for its complaints form.
